This is the order of decisions that saves the most trouble, from the first message to dispatch. It belongs with our custom uniforms page, where you can start an order.
How many uniforms does each employee need?
Work it out from how often the uniform is worn and washed:
| How often it is worn | Sets per person | Why |
|---|---|---|
| 5 to 6 days a week | 3 | One on, one in the wash, one spare for a missed wash or a stain |
| 2 to 3 days a week | 2 | One on, one in the wash |
| Events and visits only | 1 | Washed between wears |
| Dirty or hot work, washed daily | 4 | A set a day, with a day's slack |
Add a small stock of spares in the sizes you use most, for new joiners and for replacements. How many depends on how fast your team turns over; ask yourself how many people you hired in the last three months.
Which garment for which role?
Start with the role, not the catalogue. A front desk team needs something presentable all day; a warehouse team needs something that hides wear; a kitchen needs something that survives hot washing.
- Polos for client-facing and front office staff.
- T-shirts for floor, field and support teams.
- Hoodies or sweatshirts as a winter layer.
- Chef coats, aprons and caps for kitchens.
Different roles can be separate specifications in the same colours, on one order and one GST invoice. That keeps the look consistent without forcing everyone into the same garment. If colour is the question, our guide to matching uniforms to brand colours explains the three routes.
How do you collect sizes for shift staff?
Shift teams are the hardest to size, because you never have everyone in one room. What works:
1. Send the size chart, not a question. Ask each person to measure a t-shirt they already wear, flat, across the chest and from shoulder to hem, and pick the size that matches. 2. Use one sheet. Columns for name, role, branch, garment and size. Nothing in chat messages. 3. Set a deadline and a default. Anyone who has not replied by the date gets the size their manager suggests. 4. Cover the whole range. We make XS to 5XL on one cut, so nobody is ordered out of a different range. 5. Keep the sheet. It becomes the record for reorders.
Should names go on the uniform?
Names help customers and new colleagues, and they cut down on uniforms going missing. Embroider them, because a uniform is washed far more often than any other garment, and thread survives that where print does not.
- Send names in the same sheet as sizes, spelt exactly as they should appear.
- Decide one rule (first name, or first name and initial) and apply it to everyone.
- Check the names on the mockup line by line before you approve.
For the logo itself, a left chest embroidery up to 4 inches is ₹60 a piece at 1 to 9 pieces, falling to ₹50, plus a one-time digitising charge of ₹300 + GST per design on orders under 100 pieces. From 100 pieces, digitising is free. Your quote shows how names are priced on your order.
How do new joiners get a uniform that matches?
This is the part most uniform programmes get wrong. After the first order, the specification is saved: the garment, the colour, the artwork and the placement. A reorder for one new joiner is the same uniform as everyone else's.
Two things to know:
- Core colours can be reordered in any quantity, even one piece.
- Extended and Pantone colours are dyed per batch, so every new batch has the same minimum as the first: 75 pieces for an extended colour and 300 for a Pantone. If your uniform uses one of those, order spares with the first run.
Can uniforms go to every branch?
Yes. Send the branch list with each branch's names and sizes, and each one's share is packed and shipped separately, anywhere in India, on one GST invoice. Shipping is added at checkout or on the quote.
What does a uniform cost?
The price per piece falls as the order grows, in five steps: 1 to 9, 10 to 24, 25 to 49, 50 to 99, and 100 or more. For example, our Classic Crewneck t-shirt is ₹415 at 1 to 9 pieces and ₹295 at 100 and more, before decoration and GST. Embroidery and prints are priced by size on top. A quote for your exact mix of roles comes with the mockup.
How long does it take?
Dispatch is counted from the day you approve the mockup:
- From 4 days: a core colour with matching parts, DTF or embroidery, up to 50 pieces.
- 12 days: contrast trims, an extended colour, screen printing or more than 50 pieces.
- 30 days: a Pantone colour.
For a uniform launch, work back from the day staff first wear it. Allow time for sizes and the mockup on top of the dispatch time. Our step by step guide to ordering company t-shirts covers the mockup and dispatch stages in more detail.
A short checklist
- Sets per person decided from how often the uniform is worn.
- One garment per role, in the same colour family.
- Sizes collected on one sheet, with a deadline.
- Names spelt exactly, one rule for everyone.
- Spares ordered in the most common sizes.
- Branch list with each branch's share.
- The launch date, with the dispatch tier worked back from it.

Quick answers
How many uniforms does each employee need?
Three sets for staff who wear a uniform five or six days a week: one on, one in the wash and one spare. Two sets for two or three days a week, and four for dirty or hot work washed daily.
Can each uniform have the employee's name embroidered?
Yes. Send the names in the same sheet as the sizes, spelt exactly as they should appear, and each piece is embroidered with its own. Check every name on the mockup before you approve.
How do new joiners get a uniform that matches?
The specification is saved after the first order, so the same garment, colour, artwork and placement are reordered. In a core colour that can be a single piece. Extended and Pantone colours carry their minimum each time, so order spares.
Can uniforms be shipped to different branches?
Yes. Send the branch list with each branch's sizes, and each share is packed and shipped separately anywhere in India, on one GST invoice.
How much does a staff uniform t-shirt cost?
The Classic Crewneck is ₹415 at 1 to 9 pieces, falling to ₹295 at 100 and more, before decoration and GST. A left chest embroidery adds ₹60 to ₹50 a piece, plus ₹300 digitising once under 100 pieces.
